Property Management for Multi-Family Buildings Berlin

Property management for your multi-family building in Berlin.

Rent management, service-charge statements, tenant changes, maintenance with our own contractor pool and reporting for owners. For buildings from 20 units in Berlin and Brandenburg, also spread over several buildings, also for communities of heirs and family companies.

For these buildings.

A multi-family building is a business of its own: leases, the annual service-charge statement, building services with inspection intervals and tenants who expect answers. We take this on for private owners, communities of heirs and family companies.

  • Pre-war building (Gründerzeithaus)

Front building, side wing and rear building, often with shops on the ground floor. Roof, facade and pipework need planned and documented maintenance.

  • Post-war building

Residential buildings from the 1950s to 1970s with a central heating plant and lift. Here maintenance, inspection intervals and energy-efficiency questions come first.

  • New build

We take over new buildings on completion, including first letting, apartment handovers and pursuing warranty defects against the construction companies.

  • Mixed residential and commercial building

Apartments and commercial units in one building, with separate accounts. For the commercial units we monitor terms, options and index adjustments.

  • Several buildings as a portfolio

Two or more buildings, together from 20 units, managed jointly and combined in one report, per building and for the whole portfolio.

Reporting in detail

Fees

Fixed price per unit and month.

After the first consultation we look at the building, the tenant list and the condition of the records. You then receive a quote with a fixed price per unit and month for day-to-day management. It depends on the number of units, the share of commercial space and the reporting you require, not on the number of calls or letters in a month.

Services that do not arise every year and not in every building are billed by time. The rates are stated in the quote before you sign.

What the price of property management depends on (German)

Included in the fixed price

  • Rent accounting, posting of rent due and reminders

  • Service-charge and heating-cost statements

  • Tenant communication and correspondence

  • Inspections, commissioning and supervision of repairs

  • Monthly report and annual summary

Billed by time

  • Tenant changes with inspection, re-letting and handover

  • Support in court proceedings, for example eviction or rent arrears

  • Construction supervision for larger repairs and modernisation

Change of manager

Switching property managers in 90 days.

For a single building, 90 days from notice are usually sufficient if contract, records, accounts and takeover date are settled in this order. What the previous manager must hand over and where handovers get stuck is described at Hausverwaltung wechseln (in German).

  1. Review the contract

We look at your current management contract and determine the notice period, the required form and the earliest possible date for the change.

  2. Give notice

You give notice in time and with proof of receipt. On request we prepare the letter.

  3. Request the records

Leases with amendments, rent accounts, deposits, service-charge statements, utility and maintenance contracts, keys. We request them with a deadline and check them for completeness.

  4. Switch the accounts

Rent account, direct debits, utilities, insurance and service providers are switched to the new manager.

  5. Takeover date

Tenants are informed in writing. From the takeover date, incoming rent, correspondence and repairs run through us. The first monthly report follows.

After the takeover we check every rent against the lease and the rent index. Whether an increase or an index adjustment is possible can be calculated in advance with our German-language tools: Mieterhöhung berechnen and Indexmiete berechnen.

Communities of heirs and family companies

One building, several owners.

Many multi-family buildings in Berlin belong to communities of heirs or family companies. The co-heirs often do not live in Berlin and have different expectations. The management has to deal with this without taking sides.

One point of contact

All co-owners have the same contact person in the management. Enquiries from tenants, contractors and authorities come together with us.

Reporting to everyone at the same time

The monthly report goes to all co-owners at the same time with the same figures: rent received, arrears, expenses and account balance.

Payouts by share

We pay out surpluses to the co-owners according to the shares you specify and document every payout. The annual summary per owner is available for the tax adviser.

Preparing decisions

For repairs, modernisation or re-letting we present quotes and figures so that the community can decide. The decision remains with the owners; we do not provide legal advice.

Frequently asked questions

From what size do you manage a multi-family building?

From 20 residential units, also spread over several buildings, or from 500 m² of commercial space. Below that, we tell you openly in the first conversation whether we are the right manager for you.

What does the management of a multi-family building cost?

After the review you receive a fixed price per unit and month. It covers day-to-day management, the service-charge statement and the reporting. Tenant changes, court proceedings and construction supervision are billed by time; the rates are stated in the quote. What the price depends on is explained at Was kostet eine Hausverwaltung? (in German).

How long does a change of property manager take?

For a single building 90 days from notice are often sufficient. The earliest possible date is determined by the notice period in the existing management contract. We describe the process at Hausverwaltung wechseln (in German).

Do you also manage condominium owners’ associations?

Yes. For owners’ associations (WEG) from 20 units we take on the owners’ meeting, the business plan, the annual accounts, the owners’ contributions (Hausgeld) and the maintenance reserve. Details at WEG-Verwaltung (in German).

How can owners and tenants reach you?

By phone Monday to Friday from 9 am to 5 pm on +49 30 467 268 110, by e-mail to info@hepa-hausverwaltung.de or at our office at Kantstraße 154a, Berlin-Charlottenburg. We reply to enquiries via the form within one working day. Owners speak directly with the managing directors.

Which documents do you need for the takeover?

For the quote, a tenant list, floor plans or area figures and the existing management contract are sufficient. For the takeover we need the leases with amendments, rent accounts with open items as of the takeover date, proof of deposits, the service-charge statements of recent years with receipts, utility, maintenance and insurance contracts as well as keys and building records.
